PRIVACY STATEMENT

Two of the core principles on which our sports club is based are trust and loyalty.1 For that reason, we can assure you that Tribellius takes great care in being loyal to its members and respecting and protecting their privacy.
From registering as a member to our club, through using our services, consulting our website or engaging in our social media networks, you provide us with some of your personal information. Hereby, we outline the privacy policy of Tribellius MMA/Grappling club. Below you can read about the kind of private information we collect, how we do that, and why we do it.

What information do we collect and how?
Private information, or personal data, is considered to be “any information relating to an identified or identifiable natural person.”2 As mentioned above, this includes but is not limited to information you provide us with when you register as a member, information you leave on our social media network, or even information you share with our instructors.
So what specific information do we collect?

By completing our subscription form, and thus becoming a member of our club, you provide us with the following personal information: name, birth date, mobile number, address, e-mail, and bank account details.

We keep a record of the membership plans / private lessons you have booked with us, or any products you have purchased from us.

When you attend our trainings, you are asked by the instructor to write down your name and sign on the attendance list.

When you make use of our website or our social media network (through comments, private messages, or other reactions), this is another type of information which we process.

It may happen that photos are being taken during or after some of our training sessions. You will always be informed before photos of you are taken.

Once in a while we may conduct a survey among our members on their training experience, or how they have found out about Tribellius. The information you share with us in such surveys falls under the definition of private information, and is thus also protected by the privacy laws.

Private information which you share with our instructors in their professional capacity (and not under personal relation) may also be processed by us.
All personal information that you provide to us must be true, complete and accurate. Please notify us of any changes related to such private information.

In what way do we process your information?
We process your private information on the basis of your consent (evidenced by your signature to our subscription form), for the purpose of performing our membership contract with you, and for the purpose of pursuing our legitimate business interests.
The personal details which you provide in your subscription form are used primarily for administrative purposes. For example, we use your name and bank details in order to collect the membership fees through direct debits. We use your mobile number and e-mail in order to be able to reach you for various reasons – for example, we send you a copy of your subscription contract through e-mail; we add your mobile number to Tribellius what's app group, where updates and information about the trainings are being posted (you may notify us if you do not want to be part of the what's app group anymore). Your contact information may also be used to reach you in case of payment failure, or to ask you for feedback, or in relation to any other matter related to your membership with us (for instance, ensuring compliance with our terms, conditions, and policies). Information, such as a history of memberships or product purchases, is kept, on the one hand, to ease the process of future orders, and on the other hand, for company's marketing and business interests.
As mentioned above, during each training, there is an attendance list which every member who is present at the training is asked to sign. We process this data in order to keep track of your attendance as a member, but also to have a general overview of the group attendance at trainings.
Online activity on our website and social media interactions can be used both for administrative and marketing purposes. Photos taken of you may be posted on our website or social media network solely for purposes of advertising and marketing our club and services. You will always be informed before a photo of you is taken, but not when a photo is being used online. If you do not want your photo to be taken, or if you object to the way in which your photo is being used online, you should inform us as soon as possible. When a photo of you is not used for the specific purposes as mentioned here, you have the right to object and request deletion.
Feedback and surveys may be used also for marketing and other business purposes, such as identifying trends, evaluating and improving our services and policies. Participation in such research surveys is possible only based on your consent.
Finally, in case you share private information with our instructors in their professional capacity (and NOT under personal relation) and when such information may have important consequences for the whole team, this information may also be processed in order to ensure the safety of our team members. For example, imagine you have a contagious health condition and you share this with the instructor. Since this is information which is of importance for the whole team, Tribellius will decide how to handle the situation. You can count on us, however, that such personal information will be handled in the most careful, discrete and anonymous manner.
If we need to use your private information for any purpose not mentioned herein, we will require your consent.
Do third parties have access to your information?
Tribellius MMA/Grappling club is the main party who processes your information. However, there are cases in which some of your information is being shared with third parties in order to fulfil our business obligations.
Most of the private information you share with us via your subscription form is being processed solely by us. However, few parts of that information are also shared with third parties. For example, in order to fulfil your payment obligation and execute the automatic debit of the membership fee, your name and bank details are sent to our bank. In addition, when you take out a membership plan with unlimited use of gym facilities, your personal information such as name, membership plan, and starting date of subscription, is being shared with BodyVision as well. We expect all third parties to treat your private data just as safely as we do, but the particular ways in which your private information is handled by those third parties can be found in their privacy policies.
When you share yourself personal information through usage of our social media network, we cannot guarantee protection of that information, since you willingly display it in the public sphere.
In some cases, we might be legally required to disclose your private information in order to comply with applicable law, as part of legal proceedings, or in order to protect your rights.
Last but not least, our website is hosted on the Wix.com platform, which provides us with the online tools to present and sell our services and products to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. We assure you that we do not share, sell, rent, or trade any of your information with third parties for their promotional purposes.
Through our social media network, we make reference sometimes to other pages and websites. We are not responsible in any way for the content of those other websites and the way in which they handle privacy protection.

What are your privacy rights?
You have the right to review what kind of information we have of you and how it is being processed. You are always welcome to ask us specifically about this or to request a copy of your private information stored with us. Moreover, you have the right to change or supplement your data if you find it incorrect or incomplete, or to delete it if you have reasons to believe it is no longer needed for the purpose for which it has been collected or believe it has been unlawfully collected or processed. Further you have the right to request restriction or to object to the processing of your data. We must inform you within four weeks about the decision regarding such request. We will communicate your requests in relation to your private data to the third parties we work with.
We keep your information for as long as it is necessary for the purposes outlined in this privacy policy, unless a longer retention period is required or permitted by law (for example, financial data in the framework of the Tax Act). Once your membership with us has ended, you have the right to request from us to delete your personal information from our administration (or to make it anonymous).
You also have the right to have your data transferred – you can always request from us a copy of your personal data in a downloadable format.
Finally, you have the right to file a complaint if you disagree with our privacy policy. You can do so by contacting us via one of the communication routes mentioned at the end of this privacy statement.

Other
The security of your private information is of great importance to us. Our computers are password protected, and our database is encrypted. However, please remember that no method of electronic storage or transmission over the Internet is 100% secure.
Most of our members are above the age of 18. However, if we do have members who are under 18 years old, they are asked to submit their subscription form together with a signature from one of their parents/guardians. Such signature serves the purpose of providing consent to the membership contract of the minor member, and all other terms and conditions which are part of that contract, including our privacy policy as outlined here.
We reserve our right to change this Privacy Statement at any time, without prior notice, and with immediate effect. The latest version of our Privacy Statement will be always the one uploaded on our website, so we encourage you to review this statement frequently. If there are any material changes to our privacy policy, we will draw your attention: we may notify you either by posting a general message or by directly sending you a notification.
